This manual is published in accordance with Section 51 of the Promotion of Access to Information Act, 2000 (PAIA). It describes the records held by Compudoc Computer Services and explains how access to such records may be requested, subject to the grounds for refusal permitted by PAIA and the Protection of Personal Information Act, 2013 (POPIA). -

4.2 Financial and accounting records
– Basic accounting and income records
– Income is below the taxable threshold
4.3 Supplier records
– Purchase invoices from suppliers
– These are confidential commercial records
4.4 Client-related records
– Quotations and invoices issued to clients
– Service records relating to work performed
4.5 Personnel records
– Not applicable. No employees.
4.6 Policies and procedures
– Not formally documented
– Business conducted in accordance with applicable South African law including the Consumer Protection Act

Records not automatically available
All other records are private and confidential and are not automatically available. Access will only be considered in terms of PAIA. -
Request procedure
A request for access to a record must be submitted in the prescribed form to the Information Officer at the contact details above.
A requester must:
– identify the record requested
– state the right they wish to exercise or protect
– explain why the record is required to exercise or protect that right
Payment of the prescribed request and access fees may be required.
Submission of a request does not guarantee access to records. Access will only be granted where required by law.

Grounds for refusal
Compudoc Computer Services may refuse access to records where a ground for refusal in PAIA applies, including but not limited to:
– protection of confidential supplier information
– protection of commercial information and trade information
– protection of personal information of third parties
– protection of financial information of the business
– records privileged in legal proceedings
– unreasonable diversion of resources to process the request

POPIA
Personal information relating to clients and suppliers is processed only as necessary to provide services, issue quotations and invoices, and comply with legal obligations. Requests by a person for access to their own personal information may be made in terms of PAIA and POPIA. -
Availability of this manual
This manual is available only on the website of Compudoc Computer Services. -
Fees
The prescribed request and access fees under PAIA apply where relevant. A requester will be notified of any fees payable before a request is processed.
